OFFICE ASSISTANT TO GM
INTEGRATED MICRO-ELECTRONICS BULGARIA is part of Integrated Micro-Electronics, Inc. (IMI) - a leading provider of electronic manufacturing services (EMS) and power semiconductor assembly and test services. Currently we are looking for an Office Assistant to the General Manager
Subordinate to: HR Manager
Place of work: Botevgrad, Bulgaria
General purpose of the job: To provide relevant administrative support to the GM(General Manager).To organize and supervise all activities that facilitate the smooth and efficient running of the office.
Main duties and responsibilities:
• To welcome and direct office visitors, answer main office telephone system, respond to direct requests for information and/or forward messages to appropriate staff.
• To maintain master calendar of in-house meetings including setting the agenda, scheduling conference rooms, coordinating food, logistics and taking minutes when necessary;
• To make sure the office space and conference halls are kept in orderly and clean fashion during office hours and customer audits;
• To handle correspondence implementing proper administrative system for record management;
• To provide support to GM in preparing company presentations, data maintaining and communication with global IMI functions and HQ;
• To record office expenditure and keep track of office supplies (coffee, paper, white board markers, etc.)
• In charge of travel and hotel bookings and car rentals when requested by IMI employees and visitors;
• Provide administrative support to staff for copying, faxing, scanning and parcels delivery;
• To act as the company car fleet administrator (coordinate maintenance activities, prepare and update vehicle kilometer log, etc.)
• To participate actively in some HR related activities and share resources with other members of the team.
Required personal and professional skills:
• University degree;
• Very good written and spoken English;
• Skills to communicate with employees at different levels (management, engineers, admin staff, others);
• Computer literacy – MS Office is a must (Word, Excel and Power Point)
• Excellent communication skills;
• Positive, resourceful and discreet;
• Multitasking and ability to work under pressure;
• Previous admin experience is a huge advantage;
